What Cvent is good at
Cvent is built for scale. Its venue sourcing network, enterprise integrations, and ability to run hundreds of events across a global company are real strengths. If you source hotels and meeting space through Cvent, or your procurement team has already approved it, those are good reasons to stay. We do not do venue sourcing and we are not trying to.
The tradeoff is cost and fit. Cvent does not publish a price list. Vendr reports contracts from $5,133 to $94,530 per year, and per-event pricing of roughly $500 to $2,500 for small organizations. Those are third-party figures, not Cvent's own, and your quote will depend on modules, attendees, and term. For a team running one conference a year, the sales process alone can take longer than building the event.

What to check before you switch from Cvent
Bring a real agenda and made-up attendee records to both evaluations. Find out what you would give up before you find out what you would save.
- List the Cvent modules you use today. Registration, the attendee app, venue sourcing, and reporting are separate decisions. Some may need a separate tool after you leave.
- Export your attendee, session, and registration data from Cvent now. Confirm the formats before your renewal date.
- Ask us to import a sample agenda with at least two tracks. Open it on a phone and check every session, room, and speaker.
- Rehearse a last-minute change: move a talk, swap a speaker, and time how long it takes attendees to see it.
- Confirm how you get your data out of ConferenceTap. Advanced analytics with data export is included on paid plans.
- Get the total quote in writing from both sides, including ticketing fees, contract length, and renewal terms.
